Position Description

Experienced administrative professional will have overall office management responsibility, which includes front desk coverage, as well as liaison between vendors and IT. Will also include primary administrative support to the VP Public Policy, occasional secondary support for other DC based Public Affairs team members, and other office personnel not on the Public Affairs team.

Key Responsibilities

Responsible for overall management of DC office (IT support, vendor management, conference room set-up, office supplies)

Primary support to VP Public Policy full-time and as requested for other team members, including calendaring, travel arrangements, and other core administrative tasks, including processing of expense reports

Prepare PowerPoint presentation materials

Support Political Action Committee (PAC), including:

o management of financial transactions (contributions & disbursements) and record keeping

o assist with preparation of written materials for PAC Board meetings such as candidate evaluations, agendas, financial reports, official minutes

o preparation of internal PAC reports, communications materials and analyses

Support Policy Communications, including:

o Advocacy Network

o Advocacy Ambassadors

o Digital Advocacy Program

o Website maintenance and collateral materials updates as directed

Support planning and execution of internal and external activities such as the Washington DC Fly-In, PAC-related events, and Lunch and Learns

Database maintenance (Quorum and DDC)

Manages special projects on behalf of the department and other duties as assigned


Qualifications:

Minimum Requirements

8+ years advanced administrative support experience

HS Diploma, Vocational Training or minimum 3 years experience is Equivalent. A 4 Year degree is preferred

Critical Skills include:

Advanced skills in MS Office Word, Outlook, Excel, PowerPoint

Particularly advanced skills in timely and compelling PowerPoint creative design for business internal and external presentations (samples required)

Database management expertise

Proficient with WebEx and use of telepresence capabilities

Demonstrated team first mentality and experience in working with far flung teams

Ability to anticipate activities and take proactive action with little or no direction

Strong time management and prioritization skills

Ability to work on multiple tasks with demanding or competing deadlines

Possess general research skills

Exceptional interpersonal and communication (oral and written) skills

Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions

Excellent attention to detail and organization skills

Uses discretion and maintains high level of confidentiality


Additional Knowledge & Skills

Possess a strong understanding of office procedures and practices

Must be able to multi-task while remaining flexible, with attention to detail and the ability to meet deadlines with minimal supervision

Must possess strong organizational skills for the efficient and successful handling and management of multiple projects

Ability to assess circumstances and problem solve with minimal supervision, exercising common sense and diplomacy

Proficient in written communications including clear and concise writing, editing for spelling and grammar, and an ability to interpret information

Speaks clearly and eloquently, representing the office in a professional manner

Must be dependable, timely, have a positive attitude, and a team work ethic

Meticulous attention to detail with the ability to compose professional correspondence
